The user capabilities page lets manage who is allowed to manage website applications such as branch music libraries

Operation

First select:

  1. The application, for example Branch libraries. Currently there are three applications: Branch libraries for branch music libraries,  Events for events such as SRP festivals and Membership for any residual uses of  the pre-MyClubhouse membership system.
  2. The capability, for example Manage. There are always two possible capabilities: manage means that the user can carry out any actions on the particular application instance, and admin (see below.) Some applications might have additional more specialised capabilities.
  3. The instance to which the capability applies, for example OXF. An instance for branch music libraries is the branch to which it applies; an instance for Events is the particular event in question. You can also select (all) meaning the user can manage any instance.

Once you have selected the instance, a list of the users who currently have that capability appears, followed by a form for adding the capability to a user.

You can remove any of the existing users with the Remove button.

To grant the capability to a user, start typing the user’s surname into the surname box. A list of matching users will appear, preceded by the surname you have typed marked (new).  Choose the person from the existing users if they appear, otherwise choose the (new) entry.

If you choose an existing user, an Add button will appear and you can add that person to the  holders of the capability.

If you choose the new entry, add the forenames and email address of the user, then click anywhere outside the input fields. A Create User button will appear: clicking it creates a new user and the Add button appears as with an existing user.

Capability assignment rules

The admin capability always applies to all instances. If you have manage capability for (all) then you can assign manage capability to other instances, but not to (all); if you have admin capability for an application you can assign any capability, including admin, to any instance. WordPress administrators automatically have admin capability for every application.

Possible errors

If, when assigning a capability to a new user, there is already a user with the same email address then the operation will fail, reporting the name of the existing user.
